  • Executive Personal Assistant & Operations Coordinator

    Job Description

    We have an exciting opportunity for you to join our team as an Executive Personal Assistant & Operations Coordinator, within our Corporate Division.

    Executive & Administrative Support

    • Manage the Director's calendar, meetings, reservations, and appointments effectively to ensure priorities are met.
    • Coordinate logistics for internal and external meetings, including venue booking, technology set-up, agenda preparation, and minute-taking.
    • Prepare briefing notes, presentations, research materials, and reports.
    • Handle email and correspondence professionally on behalf of the Director.
    • Organize travel arrangements such as flights, accommodation, itineraries, and contingency planning.
    • Maintain organized filing systems (physical and electronic) for ease of retrieval, ensuring accuracy and absolute confidentiality.
    • Track projects, deadlines, and follow-ups, ensuring action items are completed promptly.
    • Collaborate with cross-functional departments to coordinate office operations, team events, and board meetings.

     

    Personal Support

    • Provide ad-hoc support for professional or personal matters as needed.
    • Assist with special projects or initiatives delegated by the director.
    • Assist the Director in monitoring corporate-related protocols and action plans across each team.
    • Assist the Director in addressing and resolving HR-related issues as they arise.
    • Handle confidential and sensitive information with integrity
    • Anticipate the director's needs to ensure smooth day-to-day operations.

     

    Stakeholder Management & Operational Coordination

    • Monitor and report on the implementation of new SOPs across various departments (e.g., Accounting, Tax, Corporate Secretarial teams) to ensure continuous operational improvements.
    • Track managers' assigned tasks, goals, and KPIs, providing regular updates and visibility to the Director.
    • Proactively follow up and send tactful reminders to team managers to encourage execution and ensure timely achievement when delays occur.
    • Act as a professional primary point of contact for internal and external stakeholders, coordinating tasks across teams and vendors to maintain effective communication.

    To qualify for the role:

    • Minimum 5 years of experience in a Personal Assistant role supporting senior management or C-suite executives.
    • Excellent written and verbal communication skills in Japanese and English are required for client communication. Proficient in Microsoft Office Suite ( Teams, Word, Excel, PowerPoint, Outlook) and productivity tools.
    • High degree of discretion, professionalism, and integrity.
    • Flexibility to manage urgent tasks beyond office hours when necessary
    • Highly adaptable and versatile in a fast-paced and high-growth environment
    • Strong organizational, time management, and multitasking skills

  • Associate/ Senior Associate, Corporate Secretarial

    Job Description

    We have an exciting opportunity for you to join our team as an Associate/ Senior Associate, Corporate Secretarial within our Corporate Secretarial Division. We're seeking driven and ambitious individuals eager to grow their careers alongside seasoned professionals.

    • Handle full spectrum of corporate secretarial duties for clients, including company incorporations, striking off companies, preparation of directors' and shareholders' resolutions, and other related corporate matters.
    • Manage a portfolio of clients including private limited companies, Singapore branches and offshore companies.
    • Ensuring compliance with relevant statutory and regulatory requirements, including maintenance of statutory registers and timely filing of statutory returns.
    • Handle all ACRA BizFile submissions and related compliance matters.
    • Perform other ad hoc duties and administrative tasks as assigned

     

    In additional, Senior Associate will be required to review and guide junior team members to enable them to carry out their roles effectively and efficiently.

    Requirement

    To qualify for the role:

    • Diploma or Degree in Law, Accounting, Business Administration, Management or related disciplines
    • Candidates who are CSIS or MAICSA graduates, or currently pursuing the qualification will have an added advantage.
    • Associate: At least 1 year of relevant working experience in corporate secretarial practice
    • Senior Associate: Minimum 3 years of relevant working experience in corporate secretarial practice
    • Experience working in a Corporate Service Provider (CSP) firm will be an added advantage
    • Well versed in ACRA Bizfile and e-stamping procedures
    • Good knowledge of corporate secretarial practice and Singapore Companies Act
    • Proficient in corporate secretarial software and Microsoft Office such as MSwords, etc.
    • Strong interpersonal, communication, and organizational skills with the ability to manage multiple deadlines effectively.

  • Accounts Manager, Commercial Accounting

    Job Description

    We have an exciting opportunity for you to join our team as an Accounts Manager within our Commercial Accounting Division. We're seeking driven and ambitious individuals eager to grow their careers alongside seasoned professionals.

    The Manager is responsible for leading a team through structure and performance, setting growth plans, conducting reviews and executing strategies as directed by management. In addition, the Manager will also take ownership of client relationships and client-related tasks.

    The Manager will be collaborating closely with internal and external key stakeholders to ensure smooth operations.

    Client Relationship

    • Manage clients' relationships and communication with clients' key personnel
    • Responsible for complex client queries and other ad hoc requests from client
    • Preparation of quotes and service agreements
    • Other client relation assignments

    Managerial Duties

    • Guide and mentor members through growth plans and reviews
    • Lead a team to ensure a high level of service is maintained
    • Resolves issues and ensures compliances are adhered to
    • Analyse sales variance and monitoring KPIs
    • Review and validate the completeness and proper usage of internal checklists
    • Regularly review, update, and implement improvements to SOPs to reflect best practices and ensure consistent service delivery
    • Other managerial tasks assignments

    Accounting Services

    • Consolidation of subsidiaries / application of equity method for associate companies
    • Review/ Maintain full set of Accounts
    • Review/ Prepare custom reporting packages based on client requirements
    • Review/ Prepare statutory reports (Financial Statements and Notes to the accounts) in accordance with SFRS/IFRS
    • Collaborate with auditors to ensure financial compliance and smooth operations
    • Complete/review XBRL for corporate secretarial team to file
    • Cash management and payment review/ processing
    • GST preparation/review and filing
    • Other ad hoc assignments

    Payroll Services

    • Review / Preparate clients' payroll (including calculation of OT, allowances etc.)
    • Payroll / CPF disbursement
    • Review /Prepare year-end IR8A forms
    • Other payroll related assignments

    Requirement

    To qualify for the role:

    • Degree in Accountancy
    • Candidates with professional qualification such as ACCA/CA/CPA etc would be an added advantage
    • Minimum of 5 years' experience in accounting and payroll, with at least 2 years of experience in a managerial role.
    • Experience in Professional Services industry would be an added advantage.
    • Good communication and interpersonal skills
    • Strong leadership capabilities and committed to developing staff who can provide firm but constructive feedback when necessary
    • Good knowledge and understanding of Singapore requirements on accounting, GST and payroll
    • Proficient in accounting software, Microsoft Office such as excel, etc.
    • Ability to manage multiple tasks and meet deadlines in a fast-paced environment
    • Ability to work independently with minimum supervision
    • Meticulous with good accuracy and attention to detail
    • Self-motivated, proactive, confident, enthusiastic and team player
